Who can borrow from Media Collections?
- University of Melbourne staff and students.
- Melbourne Business School staff and students.
- Victorian College of the Arts staff and students (Staff are unable to borrow computer software and off-air recordings due to Copyright and licensing restrictions).
- Staff teaching on behalf of The University of Melbourne (Departmental approval required).
- Deferred University of Melbourne students (Departmental approval required).
- Melbourne University Private, Melbourne International Enterprises and Trinity Foundation students and staff (excludes computer software and off-air recordings due to Copyright and licensing restrictions).
- Paying Approved Borrowers (excludes all video formats, computer software, off-air recordings and designated high demand materials [i.e. materials with a 7 day loan period or less] due to usage, Copyright and licensing restrictions).
How many media items may I borrow?
- 4 of each video format - DVDs, videos, VCDs
- 4 computer software by University of Melbourne students and staff only *
- 6 slide sets
- No limits on kits, pictures, audio cds, audiocassettes and vinyl records.
- 16mm films may only be borrowed by University of Melbourne staff for on campus use.
- Off-air recordings may only be borrowed by University of Melbourne students and staff.**
- Academic staff may borrow more than the above limits if they require the materials for teaching. Please ask when borrowing at the ERC Loans Desk.

How long can I borrow media items for?
Loan periods vary depending on the type of material.

7 days for videos, VCDs, DVDs, audio CDs, computer software and equipment.

28 days for kits, pictures, slides, audiocassettes, and vinyl records.

3 hours or one day loan for material on Media Reserve. The loan period is indicated on the Library Catalogue and where the items are for one day loan, on the items themselves.

Designated High Demand Materials. Shorter than normal loan periods may apply to important or high demand materials. These items are clearly marked and usually have 7 day, one day or 3 hour loan periods.
- Academic staff may borrow media materials for longer than the above limits if they require the materials for teaching. Please as when borrowing at the ERC Loans Desk.
Can I renew media items?

You may renew media items either on or before the due date providing the items are not in high use, not booked, and provided you do not have any overdue University of Melbourne Library materials or outstanding fines.

There is a limit of four renewals per media item. Reserve Media items can't be renewed.

Items can be renewed by telephone during opening hours up to half an hour (30 minutes) prior to closure. Delays may be experienced during busy periods.

- Renewals may be made at anytime via the Internet. Go to the Library Catalogue and select "View your circulation record" option. You will need to have your borrowing card with you. Please check carefully to ensure that the renewal is successful, and note the new due date.
Can I have an extended loan?

Upon request at the Loans Desk, Media Collections offers extended loans for academic staff that require items for teaching and for students who are on school experience placements.

Please request any extensions at the time of checkout, as once on loan, the original due date cannot be altered (though some items may be renewable). Fines will apply for all late returns.

The following materials cannot normally be granted extended loans as they are in demand from others:

Reserve materials.

Designated high demand media and books (i.e. Overnight /1 day or 7 day loan items).

Items which are booked by other borrowers.

Loan limits on the number of a particular media material type still apply. That is you may only borrow 4 videos, or 4 DVDs, etc. at a time.
- Renewals may only be made for the normal loan period for the item type. That is a 7 day loan item, which had an extended loan may be renewed for another 7 day period.
What if I return a media item late?
- There are fines for the late return of media items. These fines vary according to the loan period and how late the return is. More information on overdues and fines.
What happens if I lose or damage an item?
- The responsibility for borrowed items is yours. You will be held responsible for the replacement or repair costs of any item which is lost, has parts lost or damaged whilst in your possession. Please be careful, as replacement costs for media materials can be very expensive. See below for some hints to make borrowing media materials easier.
Some hints to make borrowing media materials easier....

Always check the contents and condition of any library material before you borrow or you may have to prove that you were not responsible for the damage or missing parts. If the contents or condition do not match the contents label, alert the Loans Desk Staff immediately prior to borrowing. Make sure that the differences are noted by staff.

Borrowers may be suspended if they return items incomplete or damaged. So take care and avoid:

Damage to videos, computer software and audiotapes by avoiding electronic or magnetic fields.

Damage to posters by not keeping them rolled up for long periods of time, putting sticking tape on them, putting pins through them or leaving bluetack stuck to them.

Heat damage to materials such as videos, audiotapes, computer software or vinyl records by not leaving them in a car on a hot day.

Theft or damage by not leaving materials unattended.

Damage to media materials by not treating them roughly. Don’t force DVDs from cases.

Return items to their cases immediately after use so they do not get scratched.

Please check that all media items are complete before returning them.

It is best to notify staff at the Loans Staff, when returning any items that have been damaged, or have had parts are lost, whilst on loan to you.
- Please don't return media items such as posters, kits, slide sets and boxed computer software through the Library Book Return Chute, as damage may occur. Please return these materials to the Loans Desk inside the ERC Library.
