The University of Melbourne has a site licence for EndNote, which permits all eligible staff and students of the University to use the software both at work and at home. This guide discusses new or changed features in version 9 of EndNote, and lists cautions which should be noted.


What's new in version 9?

Because of major software innovations the major issue with EndNote 9 is that it is not backwardly compatible with Endnote 7 and earlier versions.

  • For PC: EndNote 9 will run on Windows 2000 and XP, and for word processing is compatible with Word 2000, Word XP and Word 2003.
  • For MAC: EndNote 9 will run on OS X (10.3.6 - 10.4.x), and for word processing is compatible with Word X (10.1.2-10.1.6) and Word 2004.
  • EndNote 9 is completely compatible with EndNote 8. Documents and libraries created with Endnote 8 can be used with Endnote 9 without conversion.
  • Libraries created in EndNote 7 (or earlier versions) will be converted into EndNote 8/9 formatt when they are first opened. Documents formatted with Endnote 7 (or earlier versions ) should be preferably be unformatted before use with Endnote 9
  • New Reference Types include: Electronic Article, Electronic Book, Government Document .
  • Some of the output styles supplied with EndNote 9 are configured to format at least some of the new reference types. For example, the APA 5th output style is configured to format the Electronic Article, Electronic Book, Government Document and Conference Paper reference types.
  • The Notes, Research Notes, and Abstract fields can each now hold up to about 16 pages of plain text.
  • As in previous versions the full user's manual in PDF format is installed with the software however a full printed manual is no longer produced.
  • Includes a University of Melbourne Library Connection File.

Known problems in version 9.01 for PC

  • When using the Change Text command, it is not possible to find carriage returns using the Ctrl + Enter command.
  • There are problems when writing templates for filters and connection files because the normal copy and paste functions do not work and the cursor is not visible when editing connection file templates.
  • When editing an output style, any change to the Multiple Citation Separator in the Citation Template will be lost when the changes are saved.  

New Users

Which version to choose? Issues to consider before choosing Endnote 9

EndNote 7

If you plan on using Endnote in different locations, e.g. at home and in Student IT labs at the University of Melbourne, EndNote 7 is recommended. Most student labs (with the exception of some faculties) will continue with Endnote 7 in 2006. You cannot move between versions 7 and 9.

EndNote 9

The latest version available at the University is EndNote 9. If you are planning to use Endnote only on your own computer you might like to choose this option. Note: If you need to use EndNote in collaboration with other researchers you need to use the same version.


Existing Users

Issue to consider before upgrading to EndNote 9

  • There are backward compatibility issues with different versions of the software.
  • Most student labs (with the exception of some faculties) will continue with Endnote 7 in 2006.
  • Once you have converted your data to EndNote 9 you cannot easily go back to previous versions of EndNote.
  • You cannot run two versions of the software (e.g. versions 7 & 9) on the same computer.
  • Staff and students engaging in group work or collaborative writing must ensure that all members are using the same version of EndNote.
  • If you are currently using version 8, it is a good idea to upgrade to version 9 

Before Upgrading

  • Make sure that you have back up copies of your EndNote libraries and any output styles, filters or connection files that you have written, edited or obtained from elsewhere.
  • It is highly recommended (but not essential) that you unformat any documents that you plan to do further work with after you upgrade to EndNote 9.
  • To unformat a document, open it in Word, and click on the Unformat Citations button on the EndNote toolbar or menu. The references in your document will change from their formatted form, e.g. (Smith, 1998) to their unformatted form, e.g. Smith, 1998 \ 77. Save these changes.
  • It is recommended (but not essential) that you uninstall the earlier version of EndNote before installing EndNote 9.
  • To uninstall in Windows, click on the Start menu, select Control Panel and click on the Add or Remove Programs icon. Highlight EndNote and click on the button to remove it.

After Installing EndNote 9....

  • When you open your library for the first time, EndNote will offer to create a converted version of the library, with a new name. The original library will remain intact. You should keep a copy of the original library and store it in a safe place, in case you later decide to revert to an earlier version of EndNote. You can change the name of the original library.
  • The references in the new, converted library in EndNote 9 will have the same record numbers as in the original library in your earlier version of EndNote.
  • When you open a Word document which you had been working on using an earlier version of EndNote, you can continue to add citations to it in the normal way. You may need to use the Format Bibliography command on the EndNote toolbar or menu to format citations which you had unformatted before upgrading.
  • Any output styles, filters or connection files that you had been using in an earlier version of EndNote should still work in EndNote 9. However the output styles will not be configured to format the reference types which are new in EndNote 9, such as Electronic Article.

Obtaining EndNote

After completing a Licence Agreement, University of Melbourne staff and students have the option of either:

  • downloading the software from downloading from the new EndNote 9

  • borrowing a copy of the software on CD from Library Loans desks (this option will be available shortly)
